Web intake system · 2026

American Products Inc.

Replacing untracked email inquiries with a structured intake engine, a secure staff portal, and clear approval checkpoints.

01 / Customer side

Intake and self-service.

Custom intake form
Defined product selections — Candlepin, Duck pin, Ten pin, Rubber band duck pin, Bowlingo, Custom — with grade classifications and quantity tracking.
Purchase vs. lease
Required fields adjust to the procurement type, including 12, 24, or 36-month lease terms.
Live verification summary
After submitting, the customer sees exactly what they entered, with unused fields hidden and lease terms isolated.
Payment instructions
Zelle with invoice memo requirements, check handling, custom order deposit policy, and office contact details.
Navigation and privacy
Header links for ordering and payments, homepage routing to About and Gallery, and a Privacy Policy in the footer.

02 / Staff side

Internal portal and data.

Staff portal
A private, unindexed hub for team review and request triage.
Private data storage
Submissions go straight into a private database with row-level security, so the public cannot read them.
Approval status
Every request carries an Approval Pending / Approved toggle for real-time visibility into quote authorization.
Staff sign-in
Access-controlled accounts with self-service password recovery.

03 / Process

Operational workflow.

  • Role-based hand-off: the office manager triages requests; the owner signs off on pricing and leases.
  • Staff intake checklist covering pin inventory, freight, individual purchase limits, and lease terms.
  • Notification plan with DNS specifications for transactional email.

04 / Responsibilities

Who owns what.

AskKhamsay owns the IT infrastructure, database configuration, portal management, and troubleshooting. Final pricing, freight quotes, and lease agreements stay with the client’s management. Customer requests remain private to authorized staff accounts.

05 / Status

Where it stands.

Core build completed and verified in preview. Ready for final operational verification and the email notification cutover.
